1.1 Full Refund Eligibility (90 Days Or More)
Participants Who Submit A Written Cancellation Request Ninety (90) Or More Calendar Days Prior To The First Day Of The Event Shall Be Eligible To Receive A Full Refund Of Registration Fees Paid, Less Any Applicable Online Payment Processing Fees, Merchant Transaction Fees, Or Other Third-Party Payment Charges.

1.2 Partial Refund Eligibility (31–89 Days)
Participants Who Submit A Written Cancellation Request Between Thirty-One (31) And Eighty-Nine (89) Calendar Days Prior To The First Day Of The Event Shall Be Eligible To Receive A Fifty Percent (50%) Refund Of Registration Fees Paid, Less Any Applicable Online Payment Processing Fees, Merchant Transaction Fees, Or Other Third-Party Payment Charges.

1.3 Refund Processing Fees
All Approved Refunds Shall Be Subject To The Deduction Of Any Non-Refundable Online Payment Processing Fees, Merchant Transaction Fees, Or Other Third-Party Charges Incurred By Kulia I Ka Punawai At The Time Of The Original Transaction.

1.4 No Refunds (30 Days Or Less)
All Registration Fees Become Non-Refundable Beginning Thirty (30) Calendar Days Prior To The First Day Of The Event. No Refunds, Credits, Or Exceptions Shall Be Granted Within This Period.

1.5 Registration Transfers
Registrations That Become Non-Refundable May Be Transferred To Another Individual, Provided That:
• The Transfer Request Is Submitted In Writing;
• The Request Is Received Prior To The Commencement Of The Event; And
• The Request Is Emailed To Ikapunawai@gmail.com.

The Individual Accepting The Transferred Registration Acknowledges And Agrees To Assume The Original Participant's Registration In Its Entirety, Including But Not Limited To:
• Assigned Class And Workshop Schedule;
• Meal Selections And Dietary Accommodations Previously Submitted;
• Conference Merchandise Selections, Including T-Shirt Size, Where Applicable;
• Lodging Arrangements Or Room Assignments, If Applicable;
• Any Previously Selected Options, Purchases, Or Add-On Items;
• All Waivers, Acknowledgements, Policies, And Terms & Conditions Governing The Original Registration.

Kulia I Ka Punawai Shall Have No Obligation To Modify Class Assignments, Workshop Selections, Meal Preferences, Merchandise Orders, Lodging Arrangements, Or Any Other Registration Details Following The Transfer Of A Registration. A Transfer Shall Only Substitute The Participant Of Record And Shall Not Constitute The Creation Of A New Registration.

1.6 Method Of Cancellation
All Cancellation And Transfer Requests Must Be Submitted In Writing To Ikapunawai@gmail.com. Refund Eligibility Shall Be Determined Based Upon The Date The Written Request Is Received By Kulia I Ka Punawai.

2.1 Limited Availability
Participant Acknowledges And Agrees That Not All Classes Or Workshops May Be Available, And The Organizer Makes No Guarantee Of Access To Any Specific Class, Session, Or Kumu Hula.

2.2 First-Come, First-Served Basis
All Classes And Workshops Shall Be Allocated On A First-Come, First-Served Basis. Participants Are Strongly Encouraged To Register Early In Order To Secure Placement In Their Preferred Sessions.

2.3 Reassignment Of Overflow Registrations
In The Event A Class Reaches Capacity, Any Overflow Participants Shall Be Automatically Reassigned To An Alternate Class Or Workshop By The Registration System, At The Sole Discretion Of The Organizer.

2.4 Day-Of Cancellations And Availability
Any Last-Minute Cancellations Resulting In Class Availability Shall Be Posted At The Registration Desk On The Day Of The Event. Admission To Such Openings Shall Likewise Be Granted On A First-Come, First-Served Basis.

2.5 Class Cancellations
In The Event That A Class Or Workshop Is Cancelled For Any Reason, The Association Reserves The Right To Reassign Affected Participants To Other Classes Or Workshops At Its Sole Discretion. No Refunds, Credits, Or Alternative Compensation Shall Be Issued In Connection With Such Reassignment.

3.1 Prohibition On Class Switching
Participants Are Strictly Prohibited From “Class Jumping,” Defined As Entering Or Attending Any Class Or Workshop Other Than The One For Which They Are Officially Registered And Assigned.

3.2 Roster Verification
Each Instructor (“Kumu”) Shall Maintain A Class Roster For The Purpose Of Verifying Attendance And Ensuring Compliance With Assigned Registrations. Only Individuals Whose Names Appear On The Official Roster Will Be Permitted To Participate In The Respective Class Or Workshop.

3.3 Class Size And Experience
Organizers And Kumus Reserve The Right To Enforce Roster Limits In Order To Maintain Appropriate Class Sizes And To Preserve The Quality Of The Instructional Experience. Unauthorized Entry Into A Class May Result In Removal From The Session By The Kumu, Unless Accepted.

4.1 Minimum Age For Participation
Eligibility & Supervision: Teens Ages 14–17 Are Welcome To Attend The Kulia I Ka Punawai Hula Convention At The Sheraton Hotel And Fairplex Convention Center With A Parent Or Designated Guardian. Minors Must Stay In The Same Or Adjoining Hotel Room As Their Parent Or Guardian, Who Is Responsible For Their Supervision Throughout The Event.

4.2 Guardian Responsibilities: Guardians Do Not Need To Take The Same Classes As The Minor But Must Remain Reachable By Phone And Present On-Site At All Times. Each Minor’s Lanyard Will Include Emergency Contact Information For Quick Communication.

4.3 Waiver & Participation: A Signed Parent Waiver And Consent Form Is Required For All Minors. The Waiver Confirms Responsibility For The Child’s Safety And Releases Kulia I Ka Punawai, The Sheraton Hotel, And The Fairplex Convention Center From Liability. This Ensures A Safe And Enriching Experience For All Youth Participants.

4.4 Parent & Guardian Meal Ticket Information
Parents Or Guardians Who Are Not Registered Participants Of The Hula Conference May Purchase A Meal Ticket To Join Their Minor For All Scheduled Meals During The Event. The Meal Ticket Includes All Meals For The Duration Of The Conference, Regardless Of Whether The Ticket Holder Attends Or Eats At Each Meal.

4.5 Meal Tickets: Must Be Purchased Separately From The Hula Conference Registration Package And Are Available Exclusively Through The Hula Conference Store. All Meal Ticket Purchases Must Be Completed No Later Than March 31, 2026. No Meal Tickets Will Be Sold After This Date Or On-Site During The Event.

5.1 By Attending The Hula Conference, You Consent To Being Filmed And Photographed. These Images And Videos May Be Used For Promotional Purposes On Our Website, Social Media, And Other Platforms. If You Do Not Wish To Appear In Any Footage Or Photos, It Is Your Responsibility To Inform The Event Organizers.

6.1 Respectful Participation
All Participants Are Required To Maintain A Respectful And Courteous Demeanor Throughout The Entirety Of The Event, Including But Not Limited To Check-In, Class Participation, Workshops, And Check-Out.

6.2 Zero-Tolerance Policy
Kulia I Ka Punawai Enforces A Strict Zero-Tolerance Policy Toward Any Form Of Inappropriate, Disruptive, Or Disrespectful Behavior, Under Any Circumstances.

6.3 Consequences Of Misconduct
Any Participant Found To Be In Violation Of This Policy May, At The Sole Discretion Of The Organizer:
(A) Be Removed From The Event Without Refund Or Credit;
(B) Face Prohibition From Registering For Or Attending Future Hula Retreats; And
(C) Have Their Respective Kumu Notified Of The Incident.

8.1 Breakfast
Breakfast Will Not Be Provided On Saturday Or Sunday. Participants Are Responsible For Arranging Their Own Breakfast, Either By Bringing Their Own Food Or Dining At The Hotel Restaurant.

8.2 Included Meals
Participant Tuition Includes Lunch And Dinner On Saturday Only. No Additional Meals Outside Of This Provision Shall Be Supplied By Kulia I Ka Punawai

9.1 Compliance With Laws And Venue Policies
The Possession, Purchase, And Consumption Of Alcoholic Beverages Shall Be Permitted Only In Accordance With All Applicable Federal, State, And Local Laws, As Well As The Policies Of The Host Venue. Participants Must Be Of Legal Drinking Age (21 Years Or Older) To Consume Alcohol.

9.2 Responsible Consumption
Participants Who Choose To Consume Alcohol Are Expected To Do So Responsibly. Excessive Intoxication, Disruptive Behavior, Or Conduct Deemed Unsafe Or Inappropriate By The Organizer Shall Not Be Tolerated.

9.3 Prohibited Areas
Consumption Of Alcohol Is Strictly Prohibited In Classrooms, Workshops, Hallways, Lobby Areas, And Poolside Unless Expressly Permitted By Kulia I Ka Punawai And/Or Venue. Alcohol May Only Be Consumed In Designated Areas, Such As Licensed Hotel Bars, Restaurants, Or Within Private Hotel Rooms.

9.4 Consequences Of Violation
Any Participant Found To Be In Violation Of This Policy May, At The Sole Discretion Of The Organizer:
(A) Be Removed From Classes, Workshops, Or Event Activities;
(B) Be Removed From The Event Entirely Without Refund Or Credit; And
(C) Face Prohibition From Future Events.

9.5 Minors Prohibited
Individuals Under The Legal Drinking Age Are Strictly Prohibited From Possessing Or Consuming Alcohol At Any Time During The Event. Any Violation Of This Policy Will Result In Immediate Removal From The Event And Will Result In Further Restrictions From Future Events.

10.1 Merchandise Availability
All Conference Merchandise, Including T-Shirts, Is Subject To Availability. No Guarantees Are Made Regarding Size Or Inventory, And Distribution Shall Be On A First-Come, First-Served Basis.

11.1 Requirements: Certain Classes Or Workshops May Require The Use Of Additional Supplies, Materials, Or Equipment. The Organizer Shall Designate Whether Such Supplies Are Optional Or Mandatory For Participation.

11.2 Payment Of Additional Fees
Participants Are Responsible For Paying Any Required Supply Or Material Fees Directly To The Kumu Hula On The Day Of The Class. These Additional Charges Are Not Included In The Registration Fee And Cannot Be Pre-Purchased Online.

11.3 Condition Of Participation
Failure To Obtain Or Pay For Mandatory Supplies May Result In Denial Of Participation In The Applicable Class Or Workshop, Without Refund Or Credit.

11.4 Extended Workshop Sessions
Certain Designated Workshops, Including But Not Limited To The Lei Workshop And Kupe‘e Workshop, Shall Consist Of Two (2) Full Sessions, Totaling One Hundred Eighty (180) Minutes In Duration. Participants Are Advised To Read The Class Description To Verify This Information And Plan Their Schedules Accordingly.

12.1 Occupancy Limitations
Hotel Policy Strictly Limits Each Guest Room To A Maximum Occupancy Of Four (4) Individuals. This Restriction Applies Regardless Of Age And Is A Condition Of The Event Contract Between Kulia I Ka Punawai And The Host Hotel.

12.2 Compliance Requirement
All Participants Are Required To Comply With The Hotel’s Occupancy Policy. By Entering Into This Agreement And Completing Registration, Participants Expressly Acknowledge And Agree To Adhere To This Limitation.

12.3 Enforcement
The Organizer Is Contractually Obligated To Uphold The Hotel’s Occupancy Policy And Encourages All Participants To Plan Their Accommodations Accordingly. Violations Of This Policy May Result In Additional Charges, Removal From The Hotel, Or Other Enforcement Measures As Determined By The Hotel.

13.1 Assumption Of Responsibility
Participants Acknowledge And Agree That Kulia I Ka Punawai Does Not Assume Responsibility For The Provision Of Medical Care, Food, Lodging, Or Transportation. Participants Are Solely Responsible For Arranging Any Such Services As Needed.

13.2 Personal Belongings
Participants Acknowledge That They Are Responsible For The Security Of Their Personal Belongings. Kulia I Ka Punawai Shall Not Be Liable For Any Lost, Stolen, Or Damaged Items.

13.3 Acknowledgment Of Terms
By Purchasing A Registration Package, Participants Automatically Acknowledge That They Have Read, Understood, And Agreed To All Terms And Conditions Outlined Herein.

A complimentary ticket to the Nā Hoa Concert will be provided to the first 150 participants who complete their conference registration.

Eligibility is determined by the order in which completed registrations are received. Eligible participants will not receive their concert ticket at the time of conference registration. Complimentary tickets will be distributed separately at a later date, and additional instructions regarding ticket delivery will be provided to qualifying participants.

The complimentary ticket is limited to one (1) ticket per eligible registered participant and is separate from conference registration.

Participants who register after the first 150 completed registrations have been received will not receive a complimentary Nā Hoa Concert ticket. Anyone wishing to attend the concert who does not qualify for a complimentary ticket must purchase a separate concert ticket, subject to availability.

Conference registration does not otherwise guarantee admission to the Nā Hoa Concert.
